Dancing Numbers Alternative for Cleaning Up QuickBooks Online Undeposited Funds

Short answer: Dancing Numbers and LedgerMedic do different jobs. Dancing Numbers moves data in and out of QuickBooks in bulk from Excel and CSV files. LedgerMedic looks for two specific problems inside a QuickBooks Online file (money stuck in Undeposited Funds and Unapplied Cash Payment Income) and tells you how many there are. If you already know exactly which transactions to change and just need to do it 500 at a time, Dancing Numbers is the better fit and it is cheaper to start with.
The manual way, with or without either tool
- Open the Undeposited Funds register in QuickBooks Online and sort by date. Anything still there is money received but not yet put into a bank deposit.
- Match each line to the real bank deposit it belongs to. Group matched payments into one Deposit (+ New → Bank deposit).
- For payments with no invoice (Unapplied Cash Payment Income), apply the payment to the correct open invoice, or convert it to a Sales Receipt if no invoice should exist.
- Rerun the register and the Profit and Loss to confirm Undeposited Funds is down to genuinely pending items.

The two price lists are not like for like: Dancing Numbers charges for a general bulk-data tool, LedgerMedic for a specific diagnosis and repair. A $10 tool you operate yourself can easily be the cheaper answer if you already know what to change.
When Dancing Numbers is the better choice
- You are migrating or bulk-loading data (invoices, bills, journal entries, lists) from spreadsheets.
- You use QuickBooks Desktop, or need to export large data sets. LedgerMedic works only with QuickBooks Online.
- You already have the exact list of transactions to change and want a general-purpose bulk tool.
When LedgerMedic is the better choice
