Can You Delete the Undeposited Funds Account in QuickBooks Online?
Published September 27, 2026 · LedgerMedic
Short answer: no, and QuickBooks Online will tell you so directly if you try. Undeposited Funds is a default system account built into the way QuickBooks handles the gap between "a customer paid me" and "the bank deposit hit the register," and it can't be deleted, only kept empty.
Why it exists in the first place
When you record a customer payment against an invoice, QuickBooks Online has to put that money somewhere before it becomes a real bank deposit, because in real life you often collect several payments before making one trip to the bank (or one batch payout from a processor). Undeposited Funds is that holding area. When you group payments into a deposit, QuickBooks moves them out of Undeposited Funds and into your actual bank account.
What people are really asking
Almost nobody wants to delete the account out of curiosity, they want the number showing on their balance sheet to be zero, or close to it, because a large ballooning balance looks wrong to a lender, an investor, or their own gut check. That's a completely different problem: it's not the account you need to remove, it's the backlog of stuck entries sitting inside it.
What actually happens if you try to work around it
- Hiding the account from reports just makes the problem invisible to you, not solved. It still exists in the data and still distorts your real cash position.
- Manually journal-entrying it to zero without matching each entry to a real deposit or a real error creates a books discrepancy that a bank reconciliation, or an accountant, will eventually catch and have to unwind.
- Recording payments directly to the bank account instead of through Receive Payment avoids the account going forward, but breaks the link between the payment and the invoice it was for, which usually creates Unapplied Cash Payment Income instead, a different symptom of the same underlying habit.
What to do instead
Work the balance down to genuinely nothing but "payments received in the last few days, not yet deposited," which is what a healthy Undeposited Funds balance looks like. See the full Undeposited Funds cleanup checklist for the step-by-step process, and clearing entries that have been sitting for months for the oldest, highest-risk items specifically.
