Fixing Stuck Tenant Payments in QuickBooks Online (Property Management)

Published September 16, 2026 · LedgerMedic

Property management books hit Undeposited Funds problems harder and more often than most other businesses, for a simple reason: transaction volume. Dozens or hundreds of tenants paying rent, fees, and deposits every month means dozens or hundreds of chances for a payment to get recorded without landing in the right bank deposit, and because each individual amount is often small, the problem tends to go unnoticed until the balance sheet number has grown too large to ignore.

Why property management files are especially prone to this

A repeatable monthly process

  1. Reconcile by property or bank account, not just in aggregate, if you manage multiple trust or operating accounts, a mismatch in one account is easy to miss when looking only at a combined view.
  2. Pull the Undeposited Funds register at the start of every month and sort by age, anything older than your normal deposit cycle (a few days, or however long it takes your bank to batch tenant payments) needs a look.
  3. Match against your bank's own deposit report, not just the QuickBooks bank feed, most banks and payment processors provide a settlement report showing exactly which payments were bundled into each deposit, which is the fastest way to rebuild a correct QuickBooks deposit.
  4. Investigate anything that doesn't clear within a cycle rather than letting it roll forward, a stuck tenant payment from three months ago is much harder to trace than one from three days ago.
  5. If using a property management integration, confirm its sync settings aren't creating deposits independently of the bank feed, this is one of the more common sources of duplication in this specific setup.

Why this compounds faster here than in most businesses

A single stuck payment is a five-minute fix. A property management file with a hundred tenants and a sloppy deposit-matching habit can accumulate that same five-minute problem dozens of times a month, and by the time someone notices the balance sheet is off, untangling which of a hundred payments belongs to which deposit is a genuinely time-consuming forensic exercise, often the same kind described in clearing an old Undeposited Funds backlog.

LedgerMedic's free scan reads a connected QuickBooks Online company and lists every stuck payment individually, tenant by tenant, with the amount and age of each, rather than leaving you to reconstruct it from a combined balance. It's built to run the same way whether you're managing one property's books or reviewing many client files under one login, which is the more common setup for firms handling property management clients specifically. The scan is free, connects read-only, and takes about two minutes per company.
